What every invoice needs

Frequently asked questions

What is the difference between an invoice and a receipt?

An invoice asks for payment and states what is owed. A receipt confirms that a payment has been made. Send the invoice first, and a receipt once you are paid if the client wants one.

Can I edit the invoice in Excel?

These templates are documents, so they open in Word, Google Docs or Pages. For automatic totals across many invoices, a spreadsheet or accounting tool is better; for a handful a month, a document is quicker.

Should I send invoices as PDF?

Yes. A PDF looks the same on every device and cannot be changed by accident. Keep the Word copy for your next invoice.

What invoice number should I start with?

Any number, as long as each invoice gets a unique one in sequence. Many businesses include the year, such as 2026-001.
