Leave application templates
Leave applications in the formats schools and offices expect: one for students writing to the Principal and one for employees writing to a manager. Tell the AI the dates and the reason and it writes the letter in the right tone.
Templates
- Leave application for school (document): A leave application to the Principal in the Indian school format, with subject line, dates of leave, reason and parent signature, for sick leave, family functions or urgent work.
- Leave application for office (document): A formal leave application to your manager for sick, casual, earned or personal leave, with dates, reason, work handover and contact details while you are away.
How to use these templates
- Choose the school or office format.
- Click "Use this template" and type the reason and dates, for example "fever, 12 to 14 March, Class 7B, roll number 23".
- Read it through and adjust anything personal, such as how you address your teacher or manager.
- Download as PDF to print and sign, or copy the text into an email or your HR portal.
Getting your leave approved
- Always include exact dates, and the number of days. "From 12 March to 14 March (3 days)" leaves no room for confusion.
- Keep the reason short and honest. You do not need to share medical details, only that you are unwell and when you expect to return.
- Apply in advance for planned leave such as a wedding or a trip, and as soon as you can for sudden illness.
- Keep a copy. Schools and HR teams sometimes ask for proof that leave was applied for, months later.
Frequently asked questions
What is the correct format of a leave application?
Sender or recipient address block, date, subject line, salutation, a body with the reason and dates, a closing line, and your name and signature. Students add class, section and roll number, and a parent's signature.
Can I send a leave application by email?
Yes. Most offices and many schools accept email. Put "Leave application: [dates]" in the subject line and paste the letter as the body.
How do I write a leave application for one day?
Use the same format and give the single date, for example "on 12 March (1 day)". For one day of sudden illness, a short email or message on the day is usually enough, followed by the letter if your school or office requires it.
