Writing a leave application your manager can approve quickly
- Use your company's leave name: casual leave, earned or privileged leave, sick leave, or paid time off. It tells HR which balance to deduct from.
- Apply as early as your policy asks, often a week or more ahead for earned leave. Short notice is the most common reason leave is refused.
- Include the handover. A manager who can see who covers your work can approve without a follow-up conversation.
- Give your return date as well as your last working day, so there is no doubt about how many days you are taking.
- Set an out-of-office reply that names the colleague covering for you.
Frequently asked questions
What is the difference between casual leave and earned leave?
In most Indian companies, casual leave covers short unplanned absences of a day or two, and earned or privileged leave is accrued over time for planned holidays and can often be carried forward. Your HR policy sets the exact rules.
Should I give a reason for personal leave?
A brief one helps, such as "a family matter" or "personal work". You do not need to give details, and a reasonable manager will not ask.
How do I ask for leave on short notice?
Apologise once for the short notice, explain briefly why it is urgent, and give a clear handover. Then follow your company's process, such as a call to your manager first.
