Payment receipt template

A receipt is proof that money changed hands. This template records who paid, what for, how much, how they paid, the transaction reference and any balance still owed, under a receipt number you can track. It suits small shops, tutors, landlords, clubs and freelancers who need to give customers a proper record of payment.

How to use these templates

  1. Open the receipt and enter your name or business details.
  2. Tell the AI about the payment, for example "received ₹12,000 from Rahul Verma by UPI for October tuition, ref 4521, paid in full" or "$450 by check no. 1043 for March lessons".
  3. Check the amount, payment method and balance, and give the receipt the next number in your sequence.
  4. Download as PDF and send it to the payer, and keep a copy for your own records.

What is the difference between a receipt and an invoice?

An invoice asks for payment and states what is owed. A receipt confirms that payment was made. Businesses often send an invoice first, then a receipt once the customer pays.

Can I use this for rent?

For a simple record, yes. Tenants in India who claim HRA usually need a rent receipt that shows the rental period and property address, and the landlord's PAN above a certain annual rent, so use the rent receipt template for that.

Do I need to sign a receipt?

A signature, or the name of the person who took the money, makes a receipt more credible, especially for cash. Emailed PDF receipts from a business are commonly accepted without a handwritten signature.

Should I give a receipt for a cash payment?

Yes, and it matters most for cash, which leaves no bank record. Write "Cash" as the payment method and give the payer a copy.
