Relieving letter format

A relieving letter is the document an Indian employer issues on an employee's last day to confirm that the resignation was accepted and the employee has been released from duty. New employers commonly ask for it during background verification, alongside the experience letter. This template has the reference number, resignation and relieving dates, designation and department, handover confirmation and the status of the full and final settlement.

How to use these templates

  1. Open the relieving letter and enter the company details and a reference number from your HR register.
  2. Give the AI the employee's name and ID, designation, department, date of joining, resignation date and last working day.
  3. Confirm handover and clearance are complete, then choose the settlement line: completed, or to be processed by a stated date.
  4. Print on letterhead, have an authorised signatory sign and stamp it, and hand it over on the last day with the experience letter.

What is the difference between a relieving letter and an experience letter?

The relieving letter confirms that you resigned and were formally released on a date. The experience letter describes your role, tenure and conduct. Employers commonly issue both on the last day, and new employers often ask for both.

Can a company hold back a relieving letter?

Companies sometimes wait until notice is served, assets are returned and dues are cleared. If it is delayed after you have done all of that, ask HR in writing, and keep the email accepting your resignation as proof meanwhile.

What if I did not serve my full notice period?

Many companies still issue the letter once the shortfall is settled, by recovery from final pay or a buy-out. Ask HR how your notice period will be settled before your last day.

Is a relieving letter needed for a job abroad?

It is not a standard document outside India, but visa and licensing bodies often want proof of employment dates, which the relieving and experience letters together provide.
