Thank-you letter template
A short, warm thank-you letter that names what you are thankful for, says why it mattered and adds a personal touch. It works for gifts, favours, hospitality, a reference or an interview, with tips on timing and tone, so you send a note that sounds like you rather than a form.
Template
- Thank-you letter (document): Say thanks the right way with a sincere, specific thank-you letter for a gift, favor, interview or kind gesture.
How to use this template
- Open the thank-you letter and tell the AI who it is for, what they did and one detail you remember, for example "Aunt Priya, the hand-knitted blanket, the baby sleeps with it every night".
- Ask for the tone you want: warm and personal for family and friends, polite and brief for a colleague, a client or an interviewer.
- Read it aloud. If a line sounds like something you would never say, ask the AI to rewrite it in plainer words.
- Download as PDF to print on card, copy the text into an email or message, or handwrite it from the draft.
What makes a thank-you note feel genuine
- Name the gift or favour in the first line. "Thank you for the gift" could have been written to anyone.
- Say what it changed or how you will use it. That is the line people remember.
- Keep it short: three to five sentences is enough for most notes. Detail shows gratitude better than length.
- Send it soon. After an interview, email within a day; after a wedding or a big event, a few weeks is generally fine.
- For a gift of money, mention what you plan to do with it rather than the amount.
- After a job interview, also restate your interest in the role and mention something you discussed. Ask the AI to "turn this into a post-interview thank-you email".
Frequently asked questions
Should a thank-you note be handwritten or emailed?
Handwritten notes feel more personal for gifts, hospitality and family occasions. Email is normal after a job interview and in business, where speed matters more.
How do I thank someone for a group gift?
Address the note to everyone who contributed, or write to each person if you know who they are, and mention that the gift came from all of them.
What should I write to thank a teacher or mentor?
Name one thing they taught you or did for you and how it helped. A concrete memory, like the feedback that changed how you write, means more than general praise.
Is it too late to send a thank-you note?
Rarely. A late note with an honest line such as "I have been meaning to write" is still welcome.
