Timesheet template for Excel

A weekly timesheet that turns clock-in and clock-out times into hours and pay. Enter the start and finish time and unpaid break for each day; it works out daily hours, splits the week into regular and overtime hours at the threshold you set, and multiplies by the hourly rate and overtime multiplier. There is space for employee and manager signatures at the bottom.

How to use these templates

  1. Fill in the employee, manager, week starting date and hourly rate. Dates for each day follow from the week start.
  2. Type start and finish times like 9:00 AM and 5:30 PM, and the unpaid break in hours, such as 0.5 for thirty minutes.
  3. Set when overtime starts (40 hours a week is common in the US) and the overtime multiplier, such as 1.5 for time and a half.
  4. Print or save as PDF, sign, and send it for approval.

How do I calculate hours worked in Excel?

Subtract the start time from the finish time and multiply by 24 to turn the fraction of a day into hours, then subtract the break. The Hours column uses exactly that formula.

Can I use it for a two-week pay period?

Download it twice into one workbook, one sheet per week, and add the two Total pay cells together.

Is there a version for scheduling shifts in advance?

Yes. The work schedule (staff rota) template plans who works which shift each day and totals the hours.

Does it work for salaried staff?

Yes for tracking hours; set the hourly rate to zero if you only need the time record.
