Attendance sheet templates for Excel

Monthly attendance registers for staff and for classes. Pick the month and the day numbers and weekday labels redraw; then mark each person each day from a dropdown. Present days turn green, absences red and leave amber, weekends grey out, and the columns at the end count present, absent and leave days and work out an attendance percentage that turns red below 75%.

How to use these templates

  1. Choose the employee or class version and set the month at the top.
  2. List names in the second column; the numbers and totals extend to every row in the table.
  3. Each day, pick a code from the dropdown: P present, A absent, L leave or late, HD half day, H holiday, WO weekly off (employees) or E excused (students).
  4. At month end, copy the totals into payroll or a report card, then change the month and clear the marks for the next one.

Keeping attendance records that hold up

Frequently asked questions

Does the sheet work for any month and year?

Yes. Change the month cell and the dates, weekday labels and weekend shading update, including 28, 29, 30 or 31 days.

How is attendance percentage calculated?

For employees: present days divided by present, absent and leave days. For students: present, late and excused days divided by days marked, so unmarked days do not count against them.

Can I track a whole year?

Keep one copy of the sheet per month in the same workbook (right-click the tab and choose Move or Copy), then add a summary sheet that totals each month.

Will it work in Google Sheets?

Yes. Import the .xlsx into Google Sheets; dropdowns, colours and totals carry over.
