Job description template
A job description that works as both the internal record of the role and the public job posting: title, location and work pattern, reporting line, salary range, a short pitch for the company, what the role is for, responsibilities, must-have and nice-to-have requirements, benefits, how to apply and an equal opportunity statement. Tell the AI about the role and it drafts the whole description in your company's voice.
Templates
- Job description (document): A job description and job posting template with role summary, responsibilities, must-have and nice-to-have requirements, salary range, benefits, how to apply and an equal opportunity statement.
- Offer letter (document): A job offer letter that sets out the role, start date, salary or CTC, benefits, probation and acceptance deadline, ready to send on company letterhead.
- Appointment letter (document): An appointment letter issued on joining, confirming designation, date of joining, CTC, probation, working hours, leave, notice period and confidentiality, with a CTC breakdown annexure in the Indian format.
How to use these templates
- Talk to the hiring manager first and write down the three or four outcomes the person must deliver in their first year.
- Open the template and give the AI the title, team, location, salary range and those outcomes, for example "customer onboarding specialist, Austin or remote, $60–70K, cut onboarding time to under 30 days".
- Split requirements into must-have and nice-to-have, and cut any must-have you would happily waive for a great candidate.
- Paste the finished description into your careers page or job board, and keep the Word copy as the role's record.
Writing a job description that attracts the right people
- Use a standard job title people search for. "Customer onboarding specialist" gets found; "Happiness ninja" does not.
- Lead with what the person will achieve, not a list of duties. Candidates decide in the first few lines whether the job is for them.
- Keep must-haves to four or five. Long requirement lists put off qualified people who do not tick every box, and they are often the candidates you most want.
- Include the pay range. Several US states, including California, Colorado, New York and Washington, require a good-faith range in job postings, and postings that show pay tend to draw more applicants everywhere.
- Avoid words that signal age, gender or background, such as "young", "digital native" or "rockstar". In the UK they can breach the Equality Act 2010.
- In India, give the range as CTC in lakhs per annum, and say whether it includes variable pay.
Frequently asked questions
What is the difference between a job description and a job posting?
A job description is the full record of a role, used for hiring, reviews and pay decisions. A job posting is the advert, usually a shorter, more persuasive version. This template is written to work as both.
How long should a job description be?
Around 300 to 700 words. Long enough to be specific about the work and the requirements, short enough to read on a phone.
Should I include a salary range?
Yes, where you can. It is required by law in several US states, and listing pay reduces mismatched applications and speeds up hiring.
Can the AI write descriptions for many roles?
Yes. Give it the title and a few notes for each role, and ask it to keep the company section and benefits the same across all of them.
